Introduction & commission agreement
Everyone who joins World Wide Retreats accepts these terms. Seekers pay nothing. Facilitators, retreat hosts and venues pay 12% of the agreed deal value once a deal that started with an introduction here is agreed and completed.
1. Who these terms apply to
These terms form a binding agreement between World Wide Retreats (“the Platform”, “we”) and every registered member: people looking for a retreat (“seekers”), facilitators and teachers, retreat organisers and hosts, and venues (together “partners”). By creating an account you confirm you are at least 18 years old, that the information you provide is accurate, and that you accept these terms and the liability disclaimer.
2. What the Platform does
We introduce parties to one another and keep a record of that introduction. We do not organise, host, sell, resell or supervise any retreat, stay or service, we are not a party to any agreement you reach, and we hold no client funds. All bookings, prices, deposits, cancellation terms, refunds and services are agreed directly between the introduced parties.
3. How an introduction is logged
Contact details are never shown publicly. A seeker requests an introduction, the Platform issues a unique reference code in the format WWR-XXXXXX with a date and time stamp, and the partner receives the request. When the partner accepts, contact details are released to both sides. That reference code and timestamp are the record of origin of the relationship.
4. Commission: 12% of the agreed deal value
Partners (facilitators, teachers, retreat organisers and hosts, and venues) agree to pay the Platform a commission of 12% of the total value of any deal that originates from an introduction made through the Platform, excluding VAT or equivalent sales tax. The commission becomes due once the deal is agreed and the retreat, stay or service has been completed. It is calculated on the gross amount payable to the partner by the introduced party, before the partner's own costs. Seekers never pay a commission or any Platform fee.
5. What counts as an originating deal
A deal originates from an introduction if the parties were first put in contact through the Platform, whether the agreement is signed on the Platform, by email, by phone or in person. Commission also applies to: repeat or follow-on bookings between the same parties within 24 months of the introduction; deals concluded with a company, colleague, agent or family member of the introduced party; and deals for a different retreat, venue, date or service than the one originally enquired about. Deliberately routing an introduced party off-platform to avoid commission (“circumvention”) is a breach of these terms.
6. Reporting, invoicing and payment
Partners must report the agreed deal value in their dashboard within 14 days of the agreement, and must confirm completion. The Platform issues an invoice quoting the WWR reference code. Invoices are payable within 7 days of issue by the payment method stated on the invoice. Amounts are stated in euro unless otherwise agreed; currency conversion and bank charges are the partner's responsibility. Overdue amounts may carry interest at the statutory rate applicable in the partner's jurisdiction, and unpaid balances may lead to suspension or removal of the listing.
7. Cancellations, refunds and adjustments
If the deal is cancelled before it takes place and the partner retains no payment, no commission is due. If the partner retains a deposit or partial payment, commission of 12% is due on the amount retained. Where a refund is issued after commission has been paid, the Platform will credit the corresponding proportion against a future invoice on request within 60 days.
8. Records and verification
Partners agree to keep accurate records of deals originating from Platform introductions and, on reasonable written request and no more than twice a year, to provide the booking confirmations or invoices needed to verify a reported deal value. The Platform's introduction log (reference code, timestamp, parties) is evidence of the introduction unless proven otherwise.
9. Free and promotional placement
Featured placement, founding-partner status or any other promotion may be granted free of charge at our discretion. Free or discounted placement does not waive, reduce or defer the commission described in section 4.
10. Member obligations
Partners are solely responsible for holding valid professional, public liability and property insurance as applicable, for holding required qualifications, licences and permits, and for complying with all tax, health, safety and consumer protection laws in their jurisdiction. All members agree to communicate honestly, to describe offerings accurately, and not to misuse contact details released through the Platform for spam or unrelated marketing.
11. Data protection
We process personal data to operate the Platform, make and log introductions, and invoice commission, on the basis of performing this agreement and our legitimate interest in running the service. Contact details are released only to the parties to an accepted introduction and to Platform administrators. Members may request access to, correction of, or deletion of their personal data, subject to records we must retain for accounting and evidence of introductions.
12. Liability
The liability disclaimer forms part of this agreement. To the fullest extent permitted by law, the Platform accepts no liability for any loss, damage, injury, cancellation, non-performance or dispute arising from an introduction or from any retreat, stay or service. Our total liability to any member is limited to the fees that member has paid us in the 12 months preceding the claim.
13. Term, suspension and changes
Either side may close the account at any time. Commission remains due on deals originating from introductions made while the account was active, subject to the 24-month window in section 5. We may suspend or remove any account or listing that breaches these terms. We may update these terms with notice by email or in the app; continued use after the effective date constitutes acceptance, and the version accepted at the time of an introduction governs that introduction.
14. Governing law and disputes
This agreement is governed by the laws of the country in which the Platform operator is established, and the parties submit to the exclusive jurisdiction of its courts, without prejudice to any mandatory consumer protection rights the member has in their country of residence. The parties will attempt to resolve any dispute in good faith before starting proceedings.
15. Affiliate retreat partners
A separate class of partner (“affiliate partners”) list retreats they already operate on their own websites. The Platform displays the retreat and links customers to the partner's booking page; the Platform never processes the customer's booking payment. Each affiliate partnership is approved manually by the Platform, and the commission rate (a percentage of the booking value or a fixed amount) is agreed with each partner individually and recorded on the partner record. Commission is due only when a customer discovers the retreat through the Platform and completes a booking with the affiliate partner. The partner agrees to install the Platform's tracking pixel on its booking-confirmation page so that completed bookings are reported, and to report any booking the pixel does not capture within 14 days. The Platform reviews each reported booking before issuing an invoice. All other sections of this agreement apply to affiliate partners as if they were partners, with the agreed per-partner commission replacing the default in section 4.
